This Privacy Policy explains what information Safety Talk TV ("Safety Talk TV," "we," "us") collects through the Safety Talk TV service (the "Service"), how it's used, and what choices are available. It applies both to the companies and admins who register for and manage an account ("Customer," "you"), and to the individual workers a Customer enrolls to receive toolbox-talk training through the Service ("Workers").
A Customer's admins enter their own company information and enroll their own Workers into the Service. For Worker information specifically, Customer is the party that decides whose information to enter and why (sometimes called the "controller"), and Safety Talk TV processes that information on Customer's behalf to provide the Service (sometimes called a "processor" or "service provider"). A Worker with a question or request about their own information should generally start with the employer who enrolled them, since that employer's admins can view, correct, or remove Worker records directly from their Roster.
From a Customer and its admins, at signup and while managing an account:
Company name, address, industry, and common project types; admin name, email address, phone number, and role; billing/plan information; and records of actions admins take in the Service (an append-only audit log covering things like adding a teammate, creating a schedule, or approving a video).
From Workers, entered by a Customer's admins (or imported from a CSV a Customer uploads):
Worker name, phone number, preferred language, crew or site assignment, and consent status. Once training is sent, the Service also records what was sent, whether and when it was confirmed, the answer given to the comprehension question, and SMS opt-out/opt-in status -- this compliance record is the core purpose of the Service, and is generally retained as long as the underlying account is, since it exists to document training history over time.
To operate the Service: deliver toolbox-talk videos and reminders to the right Workers on the schedule a Customer sets, record confirmations and quiz answers, generate the compliance reports and audit log a Customer's admins see on their dashboard, bill for the account, and provide support. We don't use Worker information to advertise to Workers, and we don't sell it.
Workers receive toolbox-talk content and reminders by text message to the phone number their employer enters for them. Message and data rates may apply. Message frequency varies by the Customer's schedules and by how many reminders a Worker needs. A Worker may reply STOP at any time to stop receiving messages, or HELP for help; a Customer's admins can also manage a Worker's subscription status directly from the Roster. Consent to be enrolled is the Customer's responsibility to obtain and document, as described in the Terms & Conditions.
Every Customer's data -- its roster, schedules, projects, and audit log -- is scoped to that Customer's account and is not visible to any other Customer using the Service. Admins only ever see the company (or companies) they've been added to.
We share information with the vendors that make the Service work -- for example, a telecommunications provider to deliver text messages, an AI video provider to generate training content, and a payment processor to bill for the account -- only as needed for them to perform that function, and not for their own marketing purposes. We may also disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Safety Talk TV, a Customer, or a Worker.
Compliance and training records (confirmations, quiz answers, the audit log) are kept for as long as the Customer's account is active, since they exist to document a Customer's training history over time -- a Customer that needs to prove what training happened and when is the entire point of the Service. A Customer can remove an individual Worker from active use at any time from the Roster; that Worker's historical training records are kept rather than deleted, the same way an employer's own personnel and training files typically are, so that past compliance history stays intact for anyone who was actually sent and confirmed that training.
We use reasonable administrative, technical, and physical safeguards designed to protect information in the Service. No method of transmission or storage is completely secure, however, and we can't guarantee absolute security.
The Service is intended for use by employers and their adult workforce in connection with workplace safety training. It is not directed at, and Customer should not enroll, anyone under the age of 18.
We may update this Privacy Policy from time to time; continued use of the Service after an update constitutes acceptance of the revised policy.
